DESCRIPTION/BACKGROUND:
On behalf of the Marion County Visitors & Convention Bureau (VCB), Procurement Services is requesting a bid exemption for the monthly inspection and bi-annual cleaning of the South Gateway sign.
In collaboration with the Office of the County Engineer (OCE) and Procurement, an attempt was made to solicit a firm for the inspection and cleaning under 25P-110. However, no responses were received. VCB staff worked to gather a cost proposal from Oasis Landscape Services, Inc., a firm that is contracted with the Florida Department of Transportation (FDOT) for similar services.
Attached for review and approval is the Solicitation Waiver and Bid Exemption Contract. Upon approval at today’s meeting, the waiver will be presented to the Chairman for signatures. The contract will be sent to the Oasis Landscape Services, Inc., for signature and once returned will be forwarded to the County Attorney, Clerk, and Chairman for signatures.
BUDGET/IMPACT:
Neutral; estimated expenditure of $110,409.09 for inspections and cleaning. Funding is from CP155552-534101(Visitors and Convention Bureau). Any items needing to be replaced or repaired will be estimated separately. Any estimate amounts not approved in the Fiscal Year budget will be brought back before the Board for approval.

Motion to approve the bid exemption and authorize the Chairman to execute the solicitation waiver as well as allow staff to issue the contract to Oasis Landscape Services, Inc., and upon approval from Legal, authorize the Chairman and Clerk to execute the contract under 26BE-079.
