SUBJECT:

Title

Request Approval of Purchase Order: 24B-096 Refrigerant Removal and Disposal - HVAC Concepts, LLC, Ocala, FL (Budget Impact - Neutral; expenditure of $100,000)

Body

INITIATOR:

DEPARTMENT:

Susan Olsen, Director

Procurement Services

DESCRIPTION/BACKGROUND:

On March 19, 2024, the Board approved a contract with HVAC Concepts, LLC, for the removal and disposal of refrigerants from equipment disposed of at all outlying Marion County Recycling Centers and the Baseline Landfill.

While contractual unit pricing has remained unchanged, the anticipated volume of services has increased, resulting in a higher estimated annual expenditure than previously approved by the Board. The additional expenditure is attributable to the increased volume of services and remains within the Department's approved annual budget.

This item is being presented to obtain Board approval of the revised estimated annual expenditure of $100,000. Additionally, staff is requesting authorization to issue purchase orders in subsequent fiscal years under the existing contract, provided expenditures remain within the Board-approved annual budget. This authorization will eliminate the need to return to the Board solely for the issuance of annual purchase orders when funding has already been approved through the annual budget process.

BUDGET/IMPACT:

Neutral; annual expenditure of $100,000. Funding is available in ZA427534 - 534101 (Solid Waste Disposal Fund).

RECOMMENDED ACTION:

Recommended action

Motion to approve and authorize staff to issue a purchase order to HVAC Concepts, LLC, and authorize the issuance of purchase orders in subsequent fiscal years under the existing contract, subject to available funding within the Board-approved annual budget.
